Committee Meeting

Monday 3 November 7:30 pm at The Old Vicarage, Nether Stowey

Present: - Judith Greig, Jill Goodwin, Sue Davison, Bob de Barr, Tim Tribe, Louise Parsons, Jenny Haydon.

1.Apologies for absence: Eric Coates, Rhu Griths, and Dennis Harkness.

2.Minutes of the last Meeting and Résumé: Approved – SD and LP

3.Matters arising from the last Minutes: None

4.Organisation and strategy:

4.1.NS VC Primary School: Nothing to report this month

4.2.Other

Committee agreed that we should arrange a coach to Theillay in 2009 but in view of take-up, member profiles and costs nowadays we need to put alternative means of mainting the link in place for the future.

Pasta evening for Committee, their friends and relatives – agreed to be held at The Old Vicarage Friday 21 November, 7.30. An occasion to invite general discussion about future direction of the Association.

Committee 2009 - Attention drawn to the need for the following roles to be filled: chairman, vice-chairman, secretary, minutes secretary, events and also publicity coordinator.

We have failed to involve members in the organisation and this to be addressed by requesting volunteers for specific tasks (i.e. maintain a list)

5.Membership: Responsibility for 2009 membership fee collection has been agreed.

6.Web: Nothing to report this month

7.Events 2008 (NB refer to Quantock Messenger for likely conflict when planning events)

7.1.Quizes 2nd Sun each month Sep-March 7.30 R&C:

Sunday 9 Nov Flyers to distribute on behalf of Church Centre Quiz night

Nov and DecTwinning Calendars to be on sale

7.2.French Conversation Lessons (currently 10 sessions from Wed/Thu 23/24 Sep).

Future of existing classes and additional 3-4 level class under discussion

One of the members has kindly assumed responsibility for organisation of level 1 and 2 class venues

QM advert to be copied from last year with contact names.

Email alert to go out to members now. Draft content to be copied to Chairman, and again 4 Jan 2009

Paper invites to be returned to Channin and Thomas by 4 Jan so invites to be issued by 14 Dec

Reservation to be made for 20 buffet meals SD

Members to be given notice of event by email and hand delivery 21 days before i.e. by 16 January latest

Coach to be booked (the simplest means of travel organisationally and no more costly v. rail) and cost to be approved by committee to allow advertising of travel in January. Berry’s to be asked about LD Lines (Portsmouth Le Havre?) as alternative to Brittany cost-wise JGr

Tim reported Grant Application is being followed up and response in by end of week – no firm decision from Sedgemoor as yet.

Coach to be booked for trip

8.1.3.Village Invitations:

Schedule of deliveries to all households has been drawn up and delivery to be arranged with help offered, January/February 2009 with cost of trip insert. Delivery via Quantock Messenger inefficient as other households have to receive deliveries anyway.

10.Treasurer’s Report

Bank balances £3397

Some new members this year have not had fees collected (nor benefitted from events) – these to be waived to 2009

2009 membership fees to remain as this year - £10 family and corporate and £5 individual.

Future - Search for further funding being actively pursued
